2. What we collect
- Details you give us: name, business name, phone number, email address, town or postcode, and anything you include in messages.
- Call recordings or transcripts if you use a demo line or contact us by phone (you will be told at the start of the call).
- Website usage data from cookies, only where you consent — see our Cookie Policy.
3. How we use it and our lawful basis
- To reply to enquiries and prepare audits or proposals — legitimate interests, or steps before entering a contract.
- To provide our services to clients — performance of a contract.
- To send business-to-business marketing emails, with an easy opt-out in every message — legitimate interests (or consent where the law requires it).
- To keep accounting and tax records — legal obligation.
4. Our clients’ customer data
When we answer calls or follow up enquiries on behalf of a roofing company, we act as a data processor for that company under a written agreement. The roofing company is the controller of its customers’ data and its own privacy notice applies.
5. Who we share data with
Trusted suppliers who help us run our business — such as website hosting, email, telephony, CRM and our delivery team — under contracts that protect your data. Some suppliers may process data outside the UK; where they do, we use appropriate safeguards such as UK adequacy regulations or the UK International Data Transfer Agreement. We never sell your data.
6. How long we keep it
Enquiry data: up to 24 months after our last contact. Client records: up to 6 years after the contract ends, for legal and tax reasons.
7. Your rights
You can ask to access, correct or delete your data, restrict or object to how we use it, withdraw consent, or receive a copy to take elsewhere. Email mandeep@roofcallai.co.uk.
